Job Description:

PRIMARY FUNCTION

Oversight of operational tasks associated with the application, integration, management and oversight of the data management software systems necessary to track member attendance and align payments from parents and third party agencies.

Key Responsibilities

  • Create reports for 10 units and provide direction to Unit Directors regarding payments due, incorrect parent swipes and other issues.
  • Maintain accurate records relating to application intake, daily attendance, parent information, and member files.
  • Ensure that daily attendance is accurately recorded, documented and reported to administration as required.
  • Maintain monthly data and membership reports.
  • Gather data and prepare the reports for transmission.
  • Maintain the 4C’s portal (EPPIC) and ensure that all data is properly contained and entered in a timely and correct manner.
  • Monitor Member Tracking System (MTS) to ensure that the administrative office receives accurate information.
  • Ensure that all deadlines for membership information and data are met.
  • Train and supervise enrollment specialists to work with parents.
  • Collaborate with coworkers to ensure that entire membership enrollment process is complete and required supporting documents are complete.
  • Liaison with 4C’s regarding enrollment of subsidized children.
  • Assure that all 4C’s contracts and documents are complete and current.
  • Plan and implement new membership orientation for staff members.
  • Maintain MTS database including:
    • Manage users.         
    • Reconcile payments with Finance department.

Run reports as needed including collection of membership fees, deposits, and tracking

Preferred Skills:

  • High School Diploma and at least two years of experience with administrative functions in a similar field.
  • Self-starter with excellent computer, interpersonal, and organizational skills.
  • Understanding of the Club’s philosophy, vision, and goals.
  • Knowledge of youth development principles and practices, procedures and resources related to career and education programs
  • Valid driver’s license a plus.
  • The successful candidate will be required to complete a background check and fingerprinting.
